Ortelan privacy policy
Learn how Ortelan handles personal information and how to exercise your privacy choices.
1. Scope of this policy
This Privacy Policy explains how Ortelan Holdings LLC and its affiliates (“Ortelan,” “we,” “us” or “our”) handle personal information. It covers information collected through ortelan.com and other Ortelan websites that link to this policy (the “Sites”), and through related communications, events, recruiting and business dealings.
This policy does not cover:
- Ortelan products. Praus, Lost Tribes and other Ortelan products have their own privacy policies on their own websites. Those policies govern information processed through the products.
- Client data in Deployments engagements. When Ortelan Deployments builds or operates systems for a client, we process that client’s data on the client’s behalf and under our agreement with it. The client’s own privacy notice governs that data, and requests about it should go to the client.
- Ortelan personnel. Employees and contractors receive a separate notice.
This policy takes effect on October 27, 2026.
2. Who is responsible
Ortelan Holdings LLC is responsible for the personal information described in this policy and is the “controller” of it where that term applies. Where an Ortelan affiliate, such as an entity that manages Ortelan Capital, decides how and why your information is used, that affiliate is also responsible for it. You can reach us using the details in the Contact section.
3. Information we collect
Information you give us
- Inquiries. Your name, email address, organization, topic and message when you use our contact form or write to us.
- Pitches. Information about you, your co-founders and your company, including pitch decks, plans, metrics and other materials you send to Ortelan Capital.
- Job applications. Your CV, work history, education, skills, portfolio, references, work authorization and interview notes. Also any other information you choose to give, such as voluntary equal-opportunity information.
- Partner, investor and business discussions. Contact details, professional background and the content of our discussions.
- Events and newsletters. Registration details and subscription preferences. If you subscribe through an independently operated service, that service’s privacy policy also applies to its collection and use of your information.
- Communications. The content of emails, messages and calls with us, and records of our correspondence.
Information collected automatically
When you visit the Sites, we and our service providers may automatically collect the following:
- Your IP address and approximate location derived from it.
- Browser and device type, operating system and language.
- The pages you view, links you click, the referring page and the date and time of your visit.
- Information stored or read through cookies, local storage and similar technologies, as described below.
Information from other sources
- Public sources, such as company websites, professional networking profiles, press and public filings.
- Referrals and introductions from Partners, investors, clients, portfolio companies and recruiters.
- Service providers that help us operate, such as communications, business administration and recruiting services.
- Reference and background checks for candidates, where permitted by law and with any notice or consent the law requires.
Sensitive information
We do not ask for sensitive personal information through the Sites, and we ask that you not send it. Examples include health information, government identifiers, financial account details and information about race, religion or sexual orientation. Where candidates choose to give equal-opportunity information, or where we need identity or work-authorization information to hire, we use it only for those purposes and as the law allows.
4. How we use information
We use personal information to:
- operate, maintain and improve the Sites;
- respond to inquiries and communicate with you;
- evaluate and carry out client engagements, investments, Partner relationships and other business opportunities;
- recruit, assess and hire candidates;
- send newsletters, updates and invitations, which you can opt out of at any time;
- protect the security and integrity of the Sites and our systems, and detect, prevent and investigate fraud, abuse, impersonation and other harmful activity;
- meet legal, regulatory, tax, accounting and audit obligations, and respond to lawful requests;
- establish, exercise and defend legal claims, and enforce our terms; and
- carry out any other purpose we describe when we collect the information, or with your consent.
We may create de-identified or aggregated information that cannot reasonably be used to identify you. We may use it for any lawful purpose, and we will not attempt to re-identify it except as the law allows.
5. Legal bases for processing
If you are in the European Economic Area, the United Kingdom or Switzerland, we rely on the following legal bases:
- Contract. To take steps at your request before entering a contract, or to perform one.
- Legitimate interests. To run and secure our business, evaluate opportunities, recruit, communicate with business contacts, and protect our rights. We rely on these interests only where they are not overridden by your rights and interests.
- Consent. Where we ask for it, for example for certain cookies or marketing. You can withdraw consent at any time.
- Legal obligation. Where we must process information to comply with the law.
6. Business records and decisions
We review information you provide for the business purposes described in this policy. Authorized personnel and service providers may assist with that review.
We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing. We do not use pitch materials or job applications submitted through the Sites to train AI models.
Personal information provided in connection with a separate product or service is subject to the privacy notice applicable to that product or service.
8. Cookies and similar technologies
We use cookies, local storage and similar technologies (“cookies”) to operate the Sites and remember your choices. Where we use them, cookies also help us understand how the Sites are used.
You can block or delete cookies in your browser settings, although some features may not work without them. Where required, we ask for consent before setting non-essential cookies. We treat a Global Privacy Control signal as a request to opt out of any “sale” or “sharing” of personal information, where the law requires this. Because there is no common standard for “Do Not Track” signals, we do not respond to them.
9. Retention
We keep personal information for as long as we need it for the purposes described in this policy, unless the law requires or permits a longer period. To decide how long to keep information, we consider:
- its amount, nature and sensitivity;
- why we hold it;
- whether we have an ongoing relationship with you;
- our legal, tax, accounting and regulatory obligations;
- applicable limitation periods; and
- the need to resolve disputes and enforce our agreements.
For example, we may keep pitch records and application records so that we can refer back to them later, where the law allows. When we no longer need information, we delete it, de-identify it or securely store it until deletion is possible.
10. Security
We use administrative, technical and physical safeguards designed to protect personal information, appropriate to its nature and the risk. No system or method of transmission is completely secure, and we cannot guarantee the security of information. If we learn of a security incident affecting your personal information, we will notify you where the law requires. See our Security page for more.
11. International transfers
Ortelan is based in the United States, and we and our service providers may process personal information in the United States and other countries. Their data protection laws may differ from those where you live. Where the law requires, we use appropriate safeguards for transfers, such as the European Commission’s Standard Contractual Clauses and the UK International Data Transfer Addendum.
12. Your choices
- Marketing. You can unsubscribe from marketing emails at any time using the link in the email. We may still send you messages about a request or relationship you have with us.
- Cookies. You can manage cookies through your browser and through any cookie controls we provide.
- Not providing information. You can choose not to give us information, but we may then be unable to respond to you, consider your pitch or process your application.
13. Your privacy rights
Depending on where you live, you may have rights over your personal information, such as the rights to:
- access it;
- correct it;
- delete it;
- receive a copy of it;
- object to or restrict how we use it; and
- withdraw consent.
To make a request, email privacy@ortelan.com or use our contact page. How we handle requests:
- Verification. We will verify your request using information we already hold. We may ask for more information to confirm your identity.
- Authorized agents. An agent may make a request for you where the law allows. We may require proof of the agent’s authority, and may ask you to confirm your identity directly.
- Timing and exceptions. We will respond within the time the law requires. We may decline a request where the law allows, for example where it would affect the rights of others or where we must keep the information.
- No retaliation. We will not discriminate against you for exercising your rights.
14. US state privacy rights
This section applies to residents of California and other US states with comprehensive privacy laws. In California, it is our notice at collection and our privacy policy under the California Consumer Privacy Act, as amended.
Categories we collect
In the past 12 months, we may have collected the following categories of personal information, from the sources described above:
- identifiers, such as name, email address and IP address;
- customer records, such as contact details and correspondence;
- professional or employment-related information;
- education information, for candidates;
- internet or other electronic network activity;
- approximate geolocation derived from IP address;
- inferences drawn from the above, for example about a candidate’s fit for a role; and
- limited sensitive personal information, such as work authorization or voluntary equal-opportunity information from candidates.
We collect these for the purposes described in the section on how we use information. We disclose each category for business purposes to the recipients described in the section on how we share information, and we keep each category for the periods described in the Retention section.
Sale, sharing and sensitive information
We do not sell personal information for money. We do not knowingly sell or share the personal information of anyone under 16. We use sensitive personal information only for purposes that do not give rise to a right to limit its use under California law.
If we ever “share” personal information for cross-context behavioral advertising, or process it for “targeted advertising,” you may opt out by emailing us or by enabling Global Privacy Control in your browser.
Your rights
Subject to legal exceptions, you have the right to:
- know what personal information we collect, use and disclose, and to access it;
- correct inaccurate personal information;
- delete your personal information;
- opt out of any sale, sharing or targeted advertising; and
- not be discriminated against for exercising these rights.
If we deny your request and you live in a state that provides a right to appeal, you may appeal by replying to our decision. We will tell you the outcome, and how to contact your state attorney general if you are not satisfied.
California “Shine the Light”
California residents may ask whether we disclosed personal information to third parties for their direct marketing purposes in the previous calendar year. We do not make such disclosures.
15. Rights in Europe and the UK
If you are in the European Economic Area, the United Kingdom or Switzerland, you have the following rights, subject to conditions set by law:
- to access, correct and delete your personal information;
- to restrict how we use it;
- to object to how we use it, including at any time to its use for direct marketing;
- to receive it in a portable format; and
- to withdraw consent at any time.
You also have the right to lodge a complaint with your local data protection authority. We would appreciate the chance to address your concern first.
16. Candidates, founders and business contacts
- Candidates. We use application information to assess you for the role you applied for. Where the law allows, we may also consider you for other roles. Hiring decisions are made by people.
- Founders. We use pitch information to evaluate potential investments and to keep records of the companies we have reviewed. We may discuss your company with our Partners, co-investors and advisers. Our Terms of Use explain that pitches are not treated as confidential.
- Business contacts. We keep professional contact details and records of our dealings with clients, prospects, Partners, investors and suppliers to manage those relationships.
17. Children
The Sites are not directed to anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.
18. Third-party sites and services
The Sites link to services run by others, including external communications, professional networking and publishing services. Their privacy practices are governed by their own policies, not this one. We encourage you to read them.
19. Changes to this policy
We may update this policy from time to time. We will post the updated version on the Sites with a new effective date. Where a change is material, we will take reasonable steps to give notice, and we will obtain consent where the law requires it.
20. Contact
